Our policies and workflows have never been more organized. It is so nice to be able to search the system at any given time, and quickly find the most updated policy. Not to mention, it allows you to require attestation on certain policies, which helps satisfy HR and HIPAA compliancy requirements. > > **Puntos en contra**: From a policy approval standpoint, I would like to see the ability for the approver of a policy to edit/change a policy and still be able to approve/publish the policy without having to go through the entire policy approval process again (drafts/collaboration/approval). > > Overall, DocTract has been a true value add to our organization and especially to me. We used to manually track all policies/workflows and it was very easy for the maintenance of policies to fall through the cracks. Once the initial setup of your policies in the system is complete, DocTract truly does all of the heavy lifting for you. I've also had a fantastic experience with their customer service. They are fast, friendly and incredibly helpful. We have found since changing over that it was easy because the two systems were quite similar, however Doc Tract has a far more advanced search ability for content in the policies, we've had amazing customer support through the process of setting up, training us, and a friendly check in on how we are doing. We were able to easily set up staff to use the system, train them with the tools we were provided and had everyone up and running within a 2 month span. Staff have expressed to us that they love it, they love that its accessible when they are out in the community and need to refer to a policy or procedure when providing service so this has truly been a win for us and given everyone's tight budgets this was totally affordable in comparison to what we were paying in the US. > > **Puntos en contra**: The only issue I have is that when you are transferring over your policies when you are setting the effective date of when they are created. So it automatically generates the renew date based on the duration you have it set. I understand there is an override section however, we had several policies that were past due and i was unable to set that date because it was in the past. I wish the date fields were a little more flexible for that. One more thing... When a policy goes to revise and you open it in word, i wish it would automatically track changes. I have a few 'owners' of the policies who constantly forget to trigger that and end up changing the whole document and not knowing what is new and what is old or revised unless i compare and highlight it myself. So just having it set to automatically open the draft document as tracking changes would be AMAZING\!\! > > Overall we are extremely happy with DocTract. I'd have liked the ability to bulk publish our existing policies during the initial upload, but we were able to find a workaround that made that first publishing process mostly painless. > > Our organization has been using DocTract since May 2021 and I highly recommend it. In selecting a solution for our policy and procedure needs, we evaluated many (15) similar solutions. DocTract provided the best combination of features, flexibility, affordability and service. Our non-profit grew from one location to 45, but our systems for managing policy and procedure, forms and regulatory documents had not kept pace. We needed a solution that would not only store and distribute our documents, but would also address the bigger lift - helping our department heads manage the review and revision of those documents without the benefit of a dedicated "policy" team. The system is easy to use and very streamlined, particularly for the end user - which is 95% of the people who access the system. If it isn't easy and intuitive, they just won't use it. Document owners can easily collaborate with subject matter experts within the system and we were able to build defined workflows for each department to ensure that every policy is reviewed and approved by the right people. Support is CRITICAL and has been excellent from my first contact with the company to present. We have a dedicated rep who is readily available whenever we have questions or are looking for the best way to structure our processes or utilize the system.
